GLF Schools was founded in 2012 in order to enable the federation of Glyn School (an academy in 2011) and Danetree Junior School. Together, we began our journey to become a MAT of more than 1000 talented staff working with over 10,000 children in 40 schools across 5 regions in southern England.

Parents and Carers Communicating with Staff

We know how important a strong partnership between home and school is in supporting students to do well. Good communication, built on trust, respect and openness, is at the heart of this partnership. To help communication run smoothly for everyone, we have set out the guidance below.

All staff at Glyn School aim to communicate in a respectful and professional way, and we kindly ask that parents and carers do the same when contacting the school. Reporting an Absences

How to Report an Absence

To help us keep accurate records and ensure your child’s safety, please contact us every day of the absence before 8am.

How to Contact the School (excluding safeguarding)

For everyday practical matters — for example changes to collection arrangements or sharing important information — please contact the main reception by phone or email glynmail@glynschool.org.

This is the quickest way to ensure messages are received and acted upon, as teaching staff may not be able to check emails during the school day.

For other queries or concerns, please follow the steps below.


Step 1: Form Tutor or Subject Teacher

In most cases, your child’s form tutor or subject teacher should be your first point of contact. They work closely with your child and are best placed to help with questions about learning, wellbeing, behaviour or day‑to‑day school matters.

How to get in touch:

  • Please get in touch via Email or using our contact form.
  • Response time: Please allow up to two working days for a reply, between 8:00am and 5:30pm.
  • Meetings: If you would like a phone call or meeting, please email the member of staff directly or contact the school office. Meetings will be arranged as soon as possible.

If you have not had a response after three working days, please contact the school office so they can check your message has been received.


Step 2: Head of Year or Head of Subject

If your concern has not been resolved after contacting the form tutor or subject teacher, the next step is to contact your child’s Head of Year or the Deputy Head of Year (for pastoral issues) or the Head of Subject (for academic issues).

Heads of Year and Heads of Subject can be contacted by email or via our contact form.


Step 3: Leadership Management Team (LMT)

If a matter still remains unresolved, it can be passed on to a member of the school’s Leadership and Management Team (LMT).

To do this, please email via the contact form and your query to the appropriate member of the team.


If Your Concern Is Still Not Resolved

These steps work alongside the GLF Trusts Complaints Policy and Procedural Guide. If your concern remains unresolved after following the process above, you may wish to refer to this policy, which can be found via this LINK.


Please Note

Due to the busy nature of the school day, we are not usually able to offer immediate meetings without notice. However, urgent safeguarding concerns will always be dealt with as a priority.


Safeguarding Concerns

If you have a safeguarding concern, please telephone main reception and ask to speak to one of our Designated Safeguarding Leads (DSLs).

You can also contact the safeguarding team directly using the school’s safeguarding email address. More information can be found in the Safeguarding Policy on the school website.


Communication About Incidents in School

During their time at school, students will sometimes experience challenges, disagreements or difficult situations. At Glyn School, we work carefully with students to ensure they feel listened to and supported.

Through our curriculum and pastoral support, students are taught how to manage conflict, seek help from adults and build resilience. These are important life skills, and we value the support of parents and carers in reinforcing these at home.

We aim to inform parents and carers about significant incidents in a timely way. However, not every minor issue or low‑level concern will result in direct communication home.

Bullying and discriminatory behaviour are never accepted at Glyn School, and clear procedures are in place to address these issues.

Communication About Whole‑School Decisions and Policies

We value the views of parents and carers and regularly seek feedback through surveys and consultation when appropriate, such as on proposed whole‑school changes.

Whole‑school decisions are made using professional expertise, research, parent and student feedback, and — most importantly — what is best for students at Glyn School. We understand that parents and carers may sometimes disagree with decisions, and we ask that you trust these have been made carefully and thoughtfully.

If you would like to raise a question about a whole‑school policy or decision, please contact the school office, who will ensure your query reaches the right member of staff. They will be happy to help explain the reasoning behind our approach.
